Google User Data
This section applies when You sign in with Google or connect Gmail or Google Calendar to Apt. It tells which data We get from Google APIs ("Google user data"), how We use, store, share and delete it, and how You control it. If another part of this Privacy Policy or of Our Terms and Conditions conflicts with this section, this section applies to Google user data.
For step-by-step help, read Your Gmail and Google Calendar data.
Limited Use
Apt's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
The Google user data that We access
We ask for each permission only when You start to use the feature that needs it. Before the Google screen opens, Apt tells You what it will read and why. You can refuse a permission. Then the feature that needs it does not work. The other features of Apt continue to work.
Sign in with Google (
openid, email, profile): Your name, Your email address and Your profile picture. We use them to create Your Account and to sign You in.Read Your Gmail (
gmail.readonly): Your Gmail messages and their metadata. This includes the sender, the recipients, the subject, the date, the short preview that Gmail gives, the text of the message and its attachments. We also read the address of Your mailbox, and the number and the date range of the emails in it. We read Your email only in these cases:- You ask the mentor a question that Your email can answer, or You ask the mentor to look in Your email. The mentor searches Your Gmail and reads the related threads.
- You start an import of Your job search. We read the metadata of up to 10,000 job-related emails from the period that You select. We read the text of the emails about Your applications.
- You turn on live sync. We read the metadata of each new email in Your inbox, to find the emails about Your job applications. We read the text of these job emails and of the recent messages in their threads. We do not store the other emails.
- You ask the mentor to save an attachment. We save the file in Your documents.
Send email (
gmail.send): We send an email from Your Gmail only when You click Send on an email draft in Apt. The mentor can write the draft. You can change the draft before You send it. After You click Send, You have 5 seconds to cancel. This permission does not let Us read Your email.Google Calendar (
calendar.events.owned): We create, change and delete events in the calendars that You own. We do this for the job events on Your tracker: interviews, deadlines, offers, follow-ups and preparation time, with reminders. When the calendar sync is on, We change these events automatically when Your tracker changes. You can also add one event one time. We read the name and the time zone of Your main calendar. We change and delete only the events that Apt created. When the calendar sync is on, We also read the events in Your main calendar that are added or changed after You turn it on, to find Your job interviews. Google tells Us when Your calendar changes. For each event, We read its title, description, time, place, status, Your answer to the invitation, and the email addresses of the organizer and the guests. We give an AI model only the title, the description, the time, the place, and the email domains of the organizer and the guests. We skip all-day events, repeating events, past events, events more than 90 days ahead, and events that You declined. If the model finds an interview for a job that is already on Your tracker, We add the interview to that job, and We move or remove it when the event changes or is cancelled. We do not add new jobs from Your calendar. We do not read Your other calendars.
How We use Google user data
We use Google user data only to give You these features, which You can see and control in Apt:
- Answer Your questions in the mentor chat from Your email, and write email drafts for You.
- Import Your job applications to Your job tracker.
- Keep Your job tracker up to date from new emails, when live sync is on.
- Send the emails that You approve.
- Put Your interviews, deadlines and other job events in Your calendar.
- Add the interviews in Your calendar to the jobs on Your tracker, when the calendar sync is on.
- Save an email attachment to Your documents, when You ask.
The results of these features become part of Your Account. Other features of Apt use them to help You. Examples are: the stage, the dates and the events of a job on Your tracker; follow-up suggestions; the summaries of Your past chats that the mentor remembers; Your voice conversations with the mentor; and the email notifications that You get from Apt, such as a summary of Your day.
We do not use Google user data, or data that We get from it, to:
- Show advertisements, including personalized, retargeted or interest-based advertisements.
- Sell it, or transfer it to advertising platforms, data brokers or other information resellers.
- Develop, improve or train generalized AI or machine learning models.
- Decide if You are credit-worthy, or for lending.
- Do any other thing that is not necessary to give or improve the features above.
Artificial intelligence
We use AI models to give the features above. For example, an AI model finds the emails about Your job applications, reads them to update Your tracker, finds the job interviews in Your calendar, and answers Your questions in the mentor chat.
We do not use Google user data to develop, improve or train generalized or non-personalized AI or machine learning models. On each request to an AI model provider, We set the option that prohibits training on the data. Under their terms, the AI model providers do not use the data to train their models. Some providers keep request data for a limited time, as their terms describe, for example to detect abuse.
How We store and protect Google user data
We encrypt Google user data in transit and at rest. Clerk, Our sign-in provider, keeps the Google access tokens.
We store only the Google user data that the features need:
- Email results in chats: the email search results and the email text that the mentor read, in the chat where You asked, and the replies of the mentor that use them. Your email drafts, and the emails that You sent from Apt, are also in the chat.
- Imported application records: for each job email that an import finds, the type of email, the company, the role, the name and the address of the sender, and the date. We delete these records automatically 7 days after the import.
- Sent-email records: for each email that You send from Apt, the Gmail message ID, the thread ID and the time.
- Sync records: the address of each mailbox with live sync, the point in the mailbox up to which We read, and the time of the last sync.
- Tracker data from email: the stage, the dates and the events of a job that an email changed, the IDs of these emails, and a short description of the last change, so that You can undo it.
- Calendar event links: for each event that Apt added to Your calendar, and for each interview that Apt found in it, the Google event ID and the tracker event that it belongs to. We also store the time zone of Your calendar.
- Calendar sync records: the point in Your calendar up to which We read, the ID and the expiry of the Google notification channel, and a short fingerprint of each event that an AI model read, so that it does not read the same event again. We do not store the text of Your events.
- Tracker data from Your calendar: the interviews that the calendar sync added, moved or removed, and a short description of the last change, so that You can undo it.
- Saved attachments: the files that You ask the mentor to save.
Storage on Your device. Apt keeps a copy of Your chats and of Your job tracker on Your device, in Your browser or in the Apt app. This copy can include email text from Your chats. We use the encryption of the operating system of Your device to protect this copy. Keep the encryption of Your device on. Apt deletes this copy from the device when You sign out.
Access by people. No person at Apt reads Google user data, except in these cases:
- You give Your consent for specific data. For example, You ask Our support team to look at a specific chat.
- It is necessary for security, for example to investigate abuse.
- It is necessary to comply with the law.
- The data is aggregated and anonymized, and We use it only for internal operations, in compliance with the law.
Who receives Google user data
We share Google user data only with the Service Providers that process it for Us to give You the features above. They process it on Our behalf. These Service Providers are:
- AI model providers, through the Vercel AI Gateway: Google (Gemini models), OpenAI and Anthropic. They run the AI models that read Your email. A model can also run on Google Cloud Vertex AI or Amazon Web Services, or on another provider that the AI Gateway uses as a backup for the same model. TypeSafe and DigitalOcean run a backup model that checks each email for instructions to an AI.
- Vercel: hosts the Apt website and servers, runs the background tasks, and stores the files that You save.
- MongoDB Atlas: Our database.
- PowerSync: copies Your chats and Your tracker to Your devices.
- Upstash: queues the background tasks that read Your email, import Your applications and update Your calendar.
- Clerk: signs You in and keeps the Google access tokens.
- ElevenLabs: runs voice conversations with the mentor. A voice conversation can use facts from Your email.
- Klaviyo: sends the email notifications that You get from Apt. A notification can include facts from Your tracker that came from Your email. We do not use Google user data in marketing emails.
- OpenCage: finds the map location of a place name in Your profile. A place name can come from Your email.
- Exa: runs the web searches of the mentor and reads web pages for it. The mentor writes each search from Your request, so a search or a link can contain names or facts from Your email.
- Coresignal: finds people who work at a company, when You ask the mentor. The company and the role in the search can come from Your email.
- ScrapingDog: reads a LinkedIn job page when You give the mentor its link. The link can come from Your email.
Sentry (error monitoring) and PostHog (product analytics) do not receive the content of Your email or of Your calendar events. Their session recordings hide the text of Your chats, and they do not record the data that Apt sends to Your browser or app about Your chats, Your email or Your calendar. A recording can show other screens of Apt, for example Your tracker, with facts that came from Your email. They can receive technical data, for example that a sync ran or that the stage of a job changed.
We do not sell Google user data. We do not share it with Our affiliates, Our business partners or advertisers. We disclose it to authorities only when the law requires it, as "Law enforcement" describes. In a merger, acquisition or sale of assets, We transfer Google user data only after You give Your explicit consent before the transfer.
We do not make Google user data available to other users. If You share a chat with a public link, We remove the email results and the other tool results from the shared copy. The replies of the mentor can still include facts from Your email. Read a chat before You share it.
Retention and deletion
We keep Google user data until You delete it or delete Your Account. We delete imported application records automatically after 7 days. You control the data in these ways:
- Disconnect Gmail. In Settings, go to Gmail and select Disconnect. Keep "Delete my Google data" selected. We stop reading Your email, remove Our access at Google, and delete the raw email data: the email results in Your chats, the imported application records, the sent-email records and the sync records. This also disconnects Google Calendar.
- Turn off the calendar sync. In Settings, go to Calendar and turn off the sync. We stop reading Your calendar, delete the calendar sync records, and stop adding events. The events that Apt already added stay in Your calendar, and We keep the calendar event links to them.
- Disconnect Google Calendar. In Settings, go to Calendar and select Disconnect. We remove the events that Apt added to Your calendar, delete the calendar sync records, the calendar event links and the time zone of Your calendar, and stop reading Your calendar and adding events.
- Delete a chat. We delete the chat, with its email results and its drafts.
- Delete Your Account. We delete all Your data, including all Google user data, and We remove Our access at Google.
- Remove Our access at Google. Go to https://myaccount.google.com/permissions, select Apt and remove its access. After this, We cannot read Your email, send email, or read or change Your calendar. The data that We already stored stays until You delete it in one of the ways above.
After You disconnect, some data that came from Your email stays in Your Account: the stages, the dates and the events on Your tracker, the files that You saved, and the replies and summaries of the mentor. You can delete them in Apt, delete Your Account, or ask Us to delete them.
To get a copy of Your data, or to ask Us to delete data that You cannot delete in Apt, send an email to support@tryapt.ai. Copies of deleted data can stay in Our backups for a limited time, until the backups expire.
